How to organize a successful Artilinki Meetup
CHOOSE THE TYPE OF MEETUP THAT SUITS YOU
-
Create a team before creating your meetup.
-
Define your Meetup purpose : what type of event would interest innovative creative spheres? which place?
THE IDEAL PLACE FOR A MEETUP
- A huge event does not always mean a good event, some events require some privacy. You can choose a place you already like to frequent or appreciate the programmation.
MEETUP ATHMOSPHERE
-
For your first meetup, you can try something informal, and then, identify and develop the format later. Atmosphere, encounters and exchanges are more important than programmation.
-
Customize the place : participants must feel friendly welcomed in order to facilitate discussion.
-
Eventually thematize the meeting and invite a specialist (you can also invite a few people with different perspectives talking 10 minutes each for example). You can change the general theme for each meeting, and so renew communication arguments to facilitate your press relations.
-
You can also propose to some artists to occur during / at the end of the Meetup. We advise you to directly specify artists under what conditions they can achieve performance in order to avoid any overflow that do not respect event or place that hosts the event.
DEVELOPING A COMMUNICATION AROUND YOUR MEETUP
-
Take some time to communicate around the event. You can create a partnership with an advertising agency that help you (the communication is a key factor in the success of your Meetup).
-
Try to wait until the event become important before creating a group on the site Meetup.com
-
Using the place’s communication tools is often a good way to target the right people, and then, complete by other medium if it’s necessary. The more your Meetup community is diverse, the more you need to contact different media in different ways. Make sure you have the means and know-how to communicate on these media.
-
Create an “event” on Artilinki. It will be linked to a group “Artilinki Meetups” organized in your city by our team.
-
Communicate on different social networks to share the “event” Artilinki.
Economic model
-
Ask for reservation or not (Reservations permit to create a waiting list to encourage people to book earlier)
-
Paying entrance or not
-
Open bar or not (free drinks can be attractive in some countries and may be offset by sponsorship)
-
Create a system of sponsorship (a useful model to make your Meetup more professional).
-
Find sponsors and partners : local businesses and brands may be interested to sponsor the event. Sponsored events are often more attractive and grow faster. Sponsors can help you in funding, exchange of visibility, loan of equipment, logistics, ... By sponsoring a Meetup, companies and brands give themselves a good visibility in the community and can convince members to make some purchase with them.
-
By qualifying your event, Artilinki offers an exchange of visibility but can not issue grants or aid.
D-DAY
-
Provide a person (other than you) welcoming people in order to note address and details of those present (we provide a sheet type).
-
Liven conversations up and facilitate meetings.
-
if you can, try to find a wall for a video or slide show, allowing you to provide information to participants (services and concept Artilinki, Meetup Artilinki, services offered by the place hosting your event, provide local cultural information, promote your sponsors, ...)
THE TIPS FOR YOUR NEXT MEETUP
-
after your first Meetup, start thinking about the next meeting. Ask participants what they liked and try to innovate for future events.
-
keep in touch with people coming to your Meetup on social networks (Facebook, Twitter, LinkedIn, respecting communication used up stream, and of course on Artilinki by editing pics, video, comment...). Social networks are a good way to drive people discussing topics they are looking forward to approach at the next event. You can also highlight some people who will be present at the next event. Twitter is perfect to maintain a conversation between the Meetups.
